Contractor Hub Privacy Policy
Please read this policy carefully to understand how we handle information.

Contractor Hub is a business operations and AI phone platform for contracting companies. This policy explains what information we collect, how we use it, and the choices users have. By using the platform, users agree to these practices. If you do not agree with this policy, please stop using the platform.

Information we collect

  • Account information: name, email, phone number, role, and company details, provided at signup or sign-in.
  • Operational data: job schedules, customer contacts, notes, voice notes, checklists, and uploaded photos entered into the platform.
  • Communications: AI phone call recordings, transcriptions, and text messages where those features are enabled.
  • Usage information: pages visited, features used, and basic device and log details to support reliability and security.
  • Google account data (when connected): if you connect Google Calendar, we receive OAuth tokens, your Google account email, and calendar event data needed to display and create appointments. See the Google API / Limited Use section below.

How we use your information

We use information solely to provide, operate, secure, and improve Contractor Hub features that you request — including account management, scheduling, AI phone answering, messaging, call transcripts and summaries, and (when connected) Google Calendar display and appointment booking.

We do not use personal information for advertising. We do not sell personal information. Aggregated, de-identified statistics may be used to understand overall product usage, but Google user data obtained via Google APIs is never used for that purpose outside the Limited Use rules described below.

Google API Services / Limited Use

Contractor Hub's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Google user data accessed through Google Calendar OAuth is used solely to provide calendar connection, calendar display, and appointment booking features explicitly requested by the user.

  • We do not use Google user data for advertising.
  • We do not sell Google user data to third parties.
  • We do not use Google user data to train, fine-tune, or improve generalized AI or machine learning models.
  • Google user data obtained via Google APIs is not transmitted to third-party AI providers (including Retell AI and OpenAI).
  • Google OAuth tokens and calendar contents are processed on our servers only to read or write calendar events for the connected account.

Scopes we request: https://www.googleapis.com/auth/calendar.events and https://www.googleapis.com/auth/userinfo.email.

AI services and data separation

Contractor Hub uses third-party AI services to power product features that do not require Google API data:

  • Retell AI — AI voice phone agent for business calls (caller conversation, transcripts, booking intents spoken on the call). When an appointment is confirmed, our servers create the event on Google Calendar; Retell does not receive Google Calendar API read data or OAuth tokens.
  • OpenAI — in-app business assistant (NOVA) and formatting of company knowledge that users enter or paste into Contractor Hub. OpenAI does not receive Google Calendar API data or OAuth tokens.

How we share information

Within a company, data is visible to authorized team members based on role and permissions. We use trusted service providers (cloud hosting, telephony, payment, and AI processing) who process data on our behalf under confidentiality obligations and only as needed to operate the features you use. We may disclose information if required by law or to protect users and the platform.

Data retention

We keep information as long as the account is active or as needed to provide the service, then delete or de-identify it. Company admins can also delete records, team members, or company data from within the platform. Disconnecting Google Calendar removes our ability to access that Google account; stored tokens are revoked or deleted as part of disconnect.

Security

We use reasonable technical and organizational safeguards to protect information. However, no method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices

Users can review and update account and company information in the platform, and connect or disconnect Google Calendar from Integrations. To request access, correction, or deletion, contact your company administrator or the Contractor Hub team.

Changes to this policy

We may update this policy from time to time. We will update the date at the top of this page and provide notice for material changes.
